Who this policy applies to

This Privacy Policy applies to anyone using ExamFix for GCSE revision, GCSE science practice, exam technique support, or AI feedback on Biology, Chemistry, and Physics answers.

What data we collect

• Email address and basic account details needed to create and manage your account.
• Usage data such as question attempts, rewritten answers, progress history, and feature use.
• If you choose to scan a handwritten answer, the image is processed transiently so ExamFix can check it for safety and convert the visible answer into text. ExamFix does not save the uploaded image as part of your account record.
• If you use Snap a Question, the selected question image is safety-checked and processed transiently so ExamFix can create a private interactive version. ExamFix does not store the source image on its servers. To show tappable annotations, a temporary copy may be stored locally on the device/browser you used; it is available for up to 24 hours and expired copies are cleared when ExamFix next runs its local cleanup. The structured question, generated marking guidance and related practice activity may be saved privately to your account so you can revisit it.
• If you use Premium Plus Live AI Tutor, microphone audio and transient speech transcripts are processed in real time to provide the conversation. ExamFix does not save the live audio or transcript as part of your account record. We do save limited session metadata including the user, question/topic, start/end time and charged seconds so we can enforce the monthly allowance, control costs and protect the service.
• Technical data needed to keep the platform secure, reliable, and mobile friendly.
• Optional product feedback. Parent and teacher accounts may separately choose whether ExamFix can use their feedback as an anonymous marketing quote. Student feedback is kept for product improvement and is not used as a public testimonial.

Legal basis for processing

We process your personal data on the following legal bases under UK GDPR: (a) Contract — to provide the ExamFix service you signed up for. (b) Legitimate interests — to improve the platform, ensure security, prevent misuse, and understand aggregated product usage. (c) Consent — for any optional marketing communications and for any optional anonymous parent or teacher testimonial permission. Consent can be withdrawn at any time.

How we use your data

• To give you AI marking and feedback on GCSE science answers.
• To safety-check and transcribe handwritten answer images when you deliberately use the scan feature.
• To safety-check and privately convert a schoolwork, worksheet or revision question you deliberately upload through Snap a Question into interactive ExamFix practice.
• To provide Premium Plus Live AI Tutor conversations grounded in the GCSE Science question and answer you are working on, and to measure the conversation time against the monthly allowance.
• To show progress, identify weak topics, and improve exam technique support.
• To keep the platform safe, fix problems, and improve performance for students, parents, and schools.
• To create anonymous, aggregate product-usage statistics. We only publish selected usage claims after minimum sample thresholds and manual review.
• If a parent or teacher explicitly agrees, to use their reviewed feedback as an anonymous marketing quote. Names, email addresses and school names are not displayed as part of the quote.

How your data is stored and protected

We store data using secure cloud systems with access controls, protected logins, and encrypted connections. We take reasonable steps to protect personal data from unauthorised access, loss, misuse, or disclosure.

Data retention

We keep your account data and progress history for as long as your account is active. If you delete your account, we remove your personal data within 30 days, except where we are legally required to retain it longer.

Do we sell your data?

No. We do not sell personal data to third parties. Data is used only to operate, improve, and personalise the ExamFix platform.

Cookies

ExamFix uses essential cookies to keep you logged in and the platform functioning. We do not use third-party advertising cookies. You can disable cookies in your browser settings, but some features may not work correctly.

Your rights under UK GDPR

• Ask for a copy of your personal data.
• Ask us to correct inaccurate data.
• Ask us to delete data where appropriate.
• Ask us to provide your data in a usable format.
• Withdraw optional testimonial consent. Submitted feedback can also be removed from ExamFix Settings.

How we use AI

ExamFix uses AI to provide marking and feedback on GCSE science answers. If you use the handwritten-answer scanner, the selected image is sent to our AI provider, OpenAI, for automated safety checking and transcription. If you use Snap a Question, the selected image is similarly processed so ExamFix can identify the question, generate student-safe annotations and create private structured practice data and ExamFix-generated marking guidance. ExamFix requests non-persistent processing for these image workflows and does not store the Snap a Question source image on ExamFix servers. A temporary local copy may remain on the student's own device/browser for the interactive image view. Structured question text, safe annotations, generated guidance and later attempts may be stored in the account so the feature can work and the question can be revisited. If you use Premium Plus Live AI Tutor, microphone audio is streamed to OpenAI in real time so the tutor can listen and reply. ExamFix requests provider session storage to be disabled for this Live session and does not save the conversation audio or live transcript in your account; limited usage metadata is retained for allowance, security and service-management purposes. AI marking, live tutoring, question extraction and handwriting recognition can make mistakes, so the platform should be used as a support tool alongside school learning, not as a replacement for it.
